Summary of Role:
To provide administration support to the regional EHS & Facilities department and assist in the day-to-day operational delivery of functional responsibilities.
Subject to managerial direction, the post holder will generally be subject to broad practices and procedures covered by functional/business precedents and policies. The post holder will require some specialised knowledge/skills gained through 'on the job' experience and or formal qualifications.
General administration support to team such as preparing documents, spreadsheets and signs etc.
Manage Contractor Safety information for compliance on company database and files
Screen Contractors & Visitors for the Department and compiling Security access compliance
Act as a liaison to notify the management teams regarding injuries, incidents or “near misses”.
Update notice boards and posters
Attend various meetings to include but not limited to 14001 EMT, EHS/Facilities meetings, sustainability, waste and other team meetings and compile and distribute operational meeting notes, action logs and minutes as required.
Update EHS Leadership Engagement records
Co-ordinate with operational staff to support the day to day operations of the function
Update performance data records for the function
Order stationery / consumables - check & maintain stocks
Input purchase requisitions into database systems (e.g. SAP)
Maintain office filing systems for legal & corporate compliance
Answer telephone queries
Deal with facilities helpdesk requests
Deal with visitors to department
Update relevant Preventative Maintenance systems, surrounding minor projects / churn moves and other database information
Provide appropriate reports and briefings as applicable including combining different types of data and present information in various formats
Update Sypol system
Liaise with training department to co-ordinate EHS training
Co-ordinate occupational health site visits with company nurse to compile health/ health surveillance programmes including checking of first aid facilities and equipment.
Relevant experience in a manufacturing environment.
Knowledge of Word, Excel and PowerPoint.
A business qualification such as SVQ/NVQ Business Administration or willingness to undertake training (if deemed necessary)
An appreciation of EHS requirements
Able to complete tasks with minimum supervision
Demonstrate a professional and helpful image for the department
Ability to multi task, prioritise work and manage completion of tasks on time
Adapt to flexible working practices in supporting other disciplines within the department
Proactive & flexible attitude
Excellent communication skills, verbal and written
Eligible for or Holder of current SC security clearance (RSL will sponsor as required).
